Procedure

The submission of the documents takes place in the following stages:
  • data entry;
  • upload :
    • of the Letter of intent written in English and in PDF format
  • validation / submission.


Points of attention

  • Automatic disconnection after 10 minutes if the open session is inactive.
  • At each step, remember to save the data you have entered (you must click on the blue button provided for this purpose), otherwise the data may be lost when you change pages or log out automatically, and you would then have to enter them again.
  • At the top of the menu, for steps 2 and 3, the text "The file is incomplete" is followed by a link "Why?" This link gives you access, at any time, to the list of pages for which the elements transmitted (data, document(s)) are not complete.
  • Any modification (data, files...) must be made before April, 23th 2024 at 11 am (Paris Time) otherwise it will not be taken into account. In other words: do not do anything at the last minute.


1. Create your account

When your account will be created you will receive an e-mail with a link and instructions to create your account.
Please note: the password you choose must be exactly 8 characters long - regardless of the type of password.


2. Data entry and validation

Account access
On the home page of the submission site, enter the requested data and click on "Login".

New password
To change your password, or if you loose it, on the home page of the submission site, click on the "New password" link. The page that opens allows you to enter your e-mail address. A message is then sent to you, which, via the address of the site it contains, allows you to enter a new password: you can then connect.

Data entry
The first five items of the menu, which can be used in any order, give access to the pages dedicated to data entry:

  1. Project details page : the project title must be meaningful, it constitutes a first approach to the project.
  2. For the next pages : Candidate / Host Instution, please refer to the text of the call for proposals.
  3. Abstract page: enter the text directly or copy and paste. The counter shows you how many characters you can still enter.


3. Upload of the submission document and any other documents

Submission documents page
Click on the "Parcourir / Browse" button, select the file (PDF file), then click on "Open", and finally, click on "OK".
The name of the uploaded file will then appear, and the red cross next to its name will allow you to delete it (in order to replace it for example).



4. Validation and submission of the file

As soon as all the required data are filled in, a " Submission of the file " button appears in the top left-hand corner of the window/web page. The next step is necessary to complete the submission process : Click on “Submission of the file” button to access the 2 steps final submission process. A “Submission of the project 1/2” window opens. Please, click on "Validate you data and submit the project" button to complete the process (a “Submission of the project 2/2” window appears). You will receive a confirmation email shortly.

Attention

The presence of data is checked only for fields marked with an asterisk: no check is made for the other fields. Similarly, the check is made on the presence of a file uploaded as a submission document: no check is made on the nature of this file.

The submitted files and data can be modified until April, 23th 2024 at 11 am (Paris Time). To do so, modify the information in the field you wish to modify, do not forget to save (and validate again, if this operation is required), and/or delete the file you wish to replace and then submit the new version. Finally, you will have to proceed again to the validation of the submission.
